Reports to Director of Finance
The Finance Coordinator plays a critical role in supporting the financial operations of our multi-location hospitality group. This position is responsible for assisting in the preparation of financial reports, managing accounts payable and reconciling accounts. The ideal candidate is detail-oriented, fast and accurate in execution, and thrives in a dynamic, high-volume environment. This role requires strong communication, initiative, and technical ability across accounting and POS systems.
- Assist in the preparation of monthly, quarterly, and annual financial reports
- Support the month-end close process: journal entries, accruals, balance sheet reconciliations
- Monitor daily cash activity across multiple bank accounts
- Maintain accurate records of all bank transactions and daily cash reconciliations
- Flag unusual activity and variances for team review
- Assist with ad-hoc financial analysis, reporting, or special projects as assigned
Accounts Payable & Receivables
- Ensure timely and accurate processing of all vendor invoices in Restaurant365
- Monitor and reconcile vendor statements monthly, resolving discrepancies proactively
- Own daily Positive Pay review and resolve any bank discrepancies
- Review, approve, and post invoices in coordination with operations and purchasing teams
- Maintain and update vendor profiles and support 1099 preparation
Systems & Data Management
- Work within Restaurant365 and Toast to ensure data integrity and proper system use
- Coordinate with GMs and department heads to obtain missing documentation, resolve invoice issues, and ensure timely submission of data
- Assist with recurring reporting templates, GL maintenance, and audit support
Skills & Qualifications
- Bachelor’s Degree in Accounting, Finance, or related field
- Experience in hospitality, restaurant, or multi-unit operations preferred
- Advanced Excel skills (pivot tables, VLOOKUP, SUMIFS, etc.)
- Experience with Restaurant365 and Toast POS preferred
- Excellent organizational skills, with the ability to handle multiple priorities efficiently
- Strong initiative, self-sufficiency, and ability to problem-solve with limited direction
- Comfortable working under tight deadlines and high-volume environments
- Clear, professional communication style when working with vendors, internal teams and ownership
